Using Sumnote with Zoom

How to install and connect the Sumnote Zoom app, record your meetings, and remove it when you’re done.

Overview

Sumnote for Zoom records your Zoom meetings, transcribes them, identifies who said what, and turns each call into a clear summary plus tasks and decisions you review and accept.

You can capture a meeting two ways: send a Sumnote bot to join the call, or, on Zoom Pro and Business, let Sumnote pick up your Zoom cloud recordings automatically. You’ll need a Sumnote account and a Zoom account you can authorize; connecting takes about a minute.

Install & connect

    Open Sumnote

    Sign in to your Sumnote account, or create one. If you found Sumnote on the Zoom App Marketplace, the Visit site to add button brings you here.

    Go to Linked accounts

    In Sumnote, open Settings → Linked accounts.

    Connect Zoom

    Click Connect next to Zoom. Sumnote sends you to Zoom to authorize.

    Authorize and finish

    Review the permissions Sumnote requests and approve. Zoom returns you to Sumnote, where Zoom now shows as Connected. You’re ready to record.

Record a meeting

Once Zoom is connected, there are two ways to capture a call.

Option A: Send the bot

    Open your meeting

    In Sumnote, open the meeting you want to record while it’s in its live window. When a meeting’s platform is Zoom and it has a Zoom link, Sumnote captures it with the Zoom bot.

    Send the bot

    Click Send bot to record. The Zoom bot joins your call as a participant.

    Admit the bot

    If the call has a waiting room, admit the bot so it can record. You can follow its live status: joining, in the call, then recording.
  4. 4

    Let it wrap up

    When the call ends, the bot leaves on its own and the recording flows into Sumnote automatically and starts processing.

Option B: Zoom cloud recording (Pro & Business)

If you record to the Zoom cloud, Sumnote can pick up the finished recording automatically, with no bot in the call. Record as you normally would; when Zoom finishes processing, Sumnote imports and processes it for you.

Auto-join from your calendar

Connect your Google Calendar so Sumnote can see your upcoming meetings. When a scheduled meeting has a Zoom link, Sumnote can send the Zoom bot to it automatically at the meeting time, so you don’t have to start the recording yourself. You stay in control with your auto-record settings: set your default in Settings → Preferences (manual, meetings you organize, or all meetings you attend); each project has its own rule; and any single meeting can override both with its Auto-record setting (Default, Always Record, or Do Not Record).

What you get

After a meeting is captured, Sumnote:

  • Transcribes the audio and identifies each speaker (with their consent, via Voice ID).
  • Writes a clear summary of the call.
  • Proposes tasks and subtasks, and for project meetings, records decisions and open questions.

You review each proposal and accept, edit, or reject it, so nothing lands on your board until you approve it. Everything stays searchable afterward.

You’re always in control of the connection and your data.

Disconnect inside Sumnote

Open Settings → Linked accounts and unlink Zoom. Sumnote revokes its authorization with Zoom for you, so it is removed from your Installed Apps in Zoom as well, and then deletes the stored Zoom tokens. You can reconnect anytime; Zoom will ask for your consent again.

Remove from the Zoom Marketplace

    Open the Zoom App Marketplace

    Sign in at marketplace.zoom.us.

    Go to your added apps

    Open Manage → Added Apps.

    Remove Sumnote

    Find Sumnote and click Remove.
What happens to your data. When you remove Sumnote from Zoom, Zoom notifies us and we delete your stored Zoom connection in response. Meetings, transcripts, and summaries already in your Sumnote account stay there under our Privacy Policy; you can delete those anytime in Sumnote, or remove your whole account from Settings → Security.

Permissions we request

Sumnote requests only the Zoom permissions it needs, and only for your own account:

  • View your Zoom profile (name, email): to link your Zoom account to Sumnote.
  • Access your Zoom Access Key (ZAK): to let our bot join your own meeting on your behalf.
  • View your meetings: to send the bot to the right call.
  • Create meetings: to generate a Zoom meeting or link from inside Sumnote.
  • Update your meetings: to keep the Zoom meeting in sync when you change a meeting’s title, time, or duration in Sumnote.
  • Local recording token: so the bot is authorized to record.
  • View your cloud recordings: to import Zoom cloud recordings on Pro and Business plans.

We never access other users’ data, and we don’t sell your Zoom data. See our Sub-processors for the services that help process it.

Troubleshooting

  • The bot didn’t join, or couldn’t record: check that Zoom is connected in Settings → Linked accounts, that someone admitted the bot from the waiting room, and that the meeting has a valid Zoom link and is in its live window.
  • Your Zoom account shows “Disconnected”: its access expired or was revoked on Zoom’s side. Reconnect it in Settings → Linked accounts.
  • The recording is silent or missing: Sumnote flags blank audio instead of making an empty transcript. Check that the bot was admitted and could hear the call.

Privacy & data
