How do I contact the Sumnote team?

Email the team, or use the Send us a message form above. If you’re signed in, the in-app feedback option sends your report straight to us.

What should I include in my message?

Tell us what you were doing, what you expected, and what actually happened, along with your account email and (if relevant) the meeting or transcript involved. Screenshots help us a lot.

When will I hear back?

We aim to respond within 1–2 business days.

Zoom integration

How do I connect my Zoom account?

In Sumnote, open Settings → Linked accounts and connect Zoom. Full steps are in our Zoom setup guide.

How do I record a Zoom meeting?

Open the meeting in Sumnote while it’s live and click Send bot to record. The bot joins as a participant and captures the call. If you’re on Zoom Pro or Business, Sumnote can also pick up your Zoom cloud recordings automatically, with no bot in the call.

The bot didn’t join, or I saw "The bot couldn’t record this meeting."

Check that your Zoom account is connected in Settings → Linked accounts, that someone admitted the bot from the waiting room, and that the meeting has a valid Zoom link and is in its live window.

My Zoom account shows "Disconnected."

Its access expired or was revoked on Zoom’s side. Reconnect it from Settings → Linked accounts.

How do I disconnect Zoom or remove the app?

Unlink it in Settings → Linked accounts and Sumnote also removes itself from your Zoom account, so you don’t have to uninstall it separately. You can equally remove Sumnote from the Zoom App Marketplace. Either way we delete your stored Zoom connection; see the Zoom guide for exactly what is removed.

Recording & the bot

The bot is waiting to be let in.

Many calls place guests in a waiting room, so a host needs to admit the bot before it can record.

My recording came out silent or very short.

Sumnote flags blank or silent audio instead of making an empty transcript. Check your microphone permissions and input device, and (for the bot) that it was admitted and could actually hear the call.

My browser refreshed mid-recording. Did I lose it?

No. Sumnote keeps the captured audio and, when you come back, offers to upload or discard the unfinished recording.

How do I make the bot join automatically?

Set your default in Settings → Preferences. Projects have their own rule, and any single meeting can override both with its Auto-record setting (Default / Always Record / Do Not Record).

Transcripts & speakers

Why is everyone labeled "Speaker A / B"?

Speakers are matched by Voice ID, which identifies someone only if they have recorded a voiceprint and consented to voice recognition. You can also assign a speaker by hand from the transcript’s Speakers panel.

Processing is taking a while.

Longer meetings take longer to transcribe, identify speakers, and summarize. You can leave the page; it keeps working in the background and notifies you when it’s ready.

A transcript shows "Transcription failed."

The reason is shown on the transcript itself. Use Retry when it’s available, or remove it and try the upload again.

Review, tasks & decisions

Where do the AI's suggestions go?

Into Review. After a meeting, Sumnote proposes tasks and updates, and you accept, edit, or reject each one, so nothing lands on your board until you approve it. Proposals from your personal meetings appear in My Work → Review; proposals from a project meeting appear in that project’s Review.

The AI suggested a task I don't want.

Reject or edit it in Review before it becomes confirmed work. Nothing is final until you accept it.

Where are decisions and open questions?

They’re recorded automatically into a project’s Insights (in the Transcripts area), not the review queue. A project manager can edit, resolve, or archive them.

Why don't my project's proposals show in My Work → Review?

My Work → Review is personal only: it shows proposals from your personal meetings. Project-meeting proposals are always reviewed inside that project.

Account & sign-in

I signed up but can't get in.

You need to verify your email first (check your spam folder). During the closed beta, you may also be waiting on access approval.

I was invited to a workspace. How do I join?

Click the invite link. If you’re already signed in, you’re added straight away with the role you were invited as; if you’re new, you create your account and verify your email first, then you’re added automatically.

I didn't get the verification or password-reset email.

Check spam, confirm you used the right address, and request another from the sign-in screen.

I want to delete my account.

Request it in Settings → Security → Danger zone. You get a 30-day grace period; simply logging back in within those 30 days cancels the deletion.

Privacy & your data

How do I stop Sumnote from using my voice?

Open Settings → Voice & data and turn Voice ID off. This deletes your voice data everywhere: every voiceprint across all workspaces, not just the sample in settings.

Can I opt out of helping train the AI?

Yes. Turn Training data off in Settings → Voice & data. Your workspace works exactly the same; your data just won’t be used for training.

I'm a guest who was recorded. How do I manage my consent?

Manage it at app.sumnote.com/consent/manage.
